What the assistant does and doesn't do

Play the Event includes an assistant that uses artificial intelligence. It helps you organize your event, but it is a tool: the decisions stay yours. Here is what it can do, where it gets things wrong, and how to get the most out of it.

What it can do for you

  • Answer questions about your event, using the information you have entered: guests, expenses, tasks, dates and places.
  • Prepare ready-to-use documents: the event plan, the budget in Excel, the task timeline, the safety checklist, the event manual, a proposal to present, the final report and a trip itinerary.
  • Draft texts, such as the event description or messages to guests, which you can edit before using them.
  • Suggest things you hadn't thought of: a phased draft plan, a fair way to split expenses.

It asks before changing anything

When the assistant wants to change your event, add an expense or send a message on your behalf, it first shows you what it is about to do and waits for your approval. If you don't approve, nothing happens. Preparing a document doesn't change your event data, so it doesn't ask for approval.

What it doesn't do

  • It isn't always right. It can make a calculation error, mix up information or confidently state something false. Always check figures, dates, names and addresses before using them.
  • It doesn't search the internet. It doesn't know current prices, availability or opening times: if you need them, check with the supplier or venue.
  • It doesn't replace a professional. On permits, safety, contracts, taxes and health its answers are a starting point, not advice: ask someone qualified.
  • It doesn't decide for you and doesn't act on your event on its own.
  • It doesn't send your data to other artificial intelligence companies and doesn't use your conversations to train itself.

How to recognize it

When you write to the assistant, there is always a note next to the text box saying you are talking to an artificial intelligence. The documents it prepares also state, in the file properties, that they were generated with artificial intelligence.

How to use it well

  1. Give precise details: number of people, date, city, budget. The clearer the request, the more useful the answer.
  2. Read carefully before approving a change or a message.
  3. Check the figures in documents before sending them to suppliers or guests.
  4. If an answer doesn't convince you, ask it to try again or to explain where it comes from.

Where it runs

The assistant runs on the platform's server, in a data center in Germany, in the European Union; the server is provided by OVHcloud US, a company based in the United States. To find out what data we process, who receives it and how long we keep it, read the privacy policy.

Age

People under 14 cannot use the assistant: the rest of Play the Event remains available. The first time you open the assistant we ask you to state your age range. If you entered under 14 by mistake, write to info@playtheevent.com.
