Associations
Run your association's events without starting over every year.
The food festival, the race, the fundraising evening: Play the Event keeps in one place who does what, what it costs and how people are seated, so the next edition starts from the last one.
For the people who keep an association's events standing, often as volunteers, on top of their own day's work.
There is always work to do, and always the same people doing it
Someone brings the trays, someone else stands at the counter, and the day before you find out nobody thought about the glasses.
Whoever goes shopping pays out of their own pocket and keeps the receipts there too: when the accounts are done, nobody really knows what is left.
Next year you start from the memory of whoever was there, because what you agreed is written down nowhere.
Play the Event brings it all into one space: the association's event holds the people, the things to do and the money together.
Four things that stop depending on memory
Start from a template, not from a blank sheet
The problem Every edition starts from nothing, and halfway through you remember what was needed last time.
What you do Pick the event template and it is created with its sections ready: things to do, money, guests, tables.
The result The next edition starts from the last one, not from what people happen to recall.
Who brings what, and by when
The problem «Someone will see to it» means nobody will, and you find out the day before.
What you do Every thing to do or to bring becomes a task with a person's name and a date on it.
The result At the meeting you read the list instead of going round the table asking.
Money paid up front, costs split
The problem Whoever buys pays from their own pocket, and getting it back stays an open question for weeks.
What you do You record the expenses inside the event and split the costs between the people who paid.
The result What went out and who paid for what sit on the same page of accounts.
Tables and seats for the dinner
The problem Seats are handed out on a sheet of paper, and at the dinner two groups end up far apart.
What you do You lay out the room and put people at the tables before the evening starts.
The result Whoever greets people at the door knows where to send each of them.
Built for the people who set up, serve and clear away
The village food festival
Last year's template, who stands at the counter and who is in the kitchen as tasks with a name, the food expenses and the tables for the dinner.
The race or the sports day
Everything to prepare carries a name and a due date, prizes and refreshments sit in the accounts, and the closing lunch has its tables.
The fundraising evening
What the evening costs and what is left for the cause are read in the event's accounts, line by line.
An event is teamwork
Inside the event the areas of work sit together: what to do and by when, what it costs, how people are seated. Every task carries someone's name, so nobody discovers at the last minute that it was theirs.
Association event → Programme: tasks, due dates, owners · Money: budget, expenses, cost splitting · Room: table layout and assigned seats · Template: last edition, ready to start from
Several people can work on the same event: a colleague who already has a Play the Event account is named among the people who manage the event, and from then on they change the plan with you. What you cannot do today is bring somebody in by email: whoever helps needs an account already. If your committee needs more than that, write to info@playtheevent.com: the interviews with organisers decide what we build next.
What we do not do
We do not sell space, we do not book halls and we do not deal with suppliers for you: here you prepare the event, the rest stays in your hands.
One edition after another, without starting over.
Begin with your association's next event: the template, the things to do and the accounts are the place to start.
Everything Play the Event does for associations
The account can be deleted whenever you want. If something does not add up, write to info@playtheevent.com: we reply within 2 working days.
