You are organising an invitation-only event, and the date is not up for discussion.

You do not get to pick the date: the ceremony picks it, or the anniversary does, or the person who must not find out.
The guest list is short and exact, and the invitation has to reach those people and nobody else.
In between there are the things to do, and a running total nobody is watching.

The things to do before that day
The problem Everything has to be ready by a date that will not move, and the small things surface last.
What you do You write each thing to do with its due date and the person handling it.
The result What is missing shows up now, not the night before.
What it is costing
The problem You pay for one piece at a time, partly in cash and partly by card, and you find the total out afterwards.
What you do You record the expenses inside the event and, if more of you are paying, split the costs.
The result The total is the same single figure for everyone.

A handful of guests, the replies collected in advance and the cost split among the people taking part.
Christening
The ceremony gives you the day: around it there are the invitations to relatives and the things to prepare.
Surprise party
The person being celebrated must not find out: the invitation only goes to the people on your list.
The people who help you
An invitation-only event is almost always organised for somebody else, and somebody lends a hand: one keeps the secret, one picks things up, one greets people at the door. Inside the event every thing to do carries a name and a date.

Today an event is run from a single account: the person helping you receives the invitation and replies, they do not log in to change the list. If you need two separate logins, write to info@playtheevent.com: the interviews with organisers decide what we build next.
What we do not do
We do not publish your event anywhere and we do not show it to anyone you have not invited: an invitation-only event stays among the people on your list.
