How it works

Choose the event type, enter the number of registrations, say whether entry is free, the day of the week and the expected weather. The tool starts from a typical no-show percentage for the event type (from 10% for a concert to 40% for a webinar) and adjusts it with fixed values: more no-shows if the event is free, on a Monday or with rain, snow or extreme heat; fewer if tickets are paid, on a Saturday or in sunny weather. The percentages are indicative and do not come from your past events: if you know the no-show rate of your own events, it is worth more than this estimate. Use the expected attendance to size seating, catering and staff.

Frequently asked questions

What is the average no-show rate for free events?

There is no universal figure, but free events usually have a much higher no-show rate than paid ones, because paying for a ticket increases attendees' sense of commitment. The most reliable benchmark is your own history: look at the no-show rate of your past events of the same kind.

How can you reduce no-shows at an event?

The most effective ways to reduce no-shows are: paid tickets (even at a token price), a sequence of reminders by email and text message, extra value at the event (exclusive speakers, networking, materials), a visible waiting list and a required confirmation 48 hours before.

How do you plan resources for an event with a high no-show risk?

With an estimated no-show rate of 40%, register about 70% more people than your target capacity (1 ÷ 0.6 ≈ 1.67). Size catering, table layout and staff numbers to the expected actual attendance rather than to total registrations.
