How it works

Enter the event's total costs, the capacity, the markup you want to apply, the early bird discount and the VIP surcharge. The base price is the cost per seat plus the markup; early bird is the base price minus the chosen discount; last minute is always the base price plus 15%; VIP starts at one and a half times the base price and rises with the chosen surcharge. The table shows revenue and margin if you sell 25, 50, 75 or 100% of the seats, with a fixed split: 20% early bird, 5% VIP, the rest at the base price. It does not forecast how many tickets you will sell: it shows from which share of sales your costs are covered.

Frequently asked questions

How do you set ticket prices for an event?

First calculate the cost per attendee (total costs / target capacity), then add your desired margin. Consider your audience's willingness to pay, competitors' prices and the perceived value of the experience.

What are early bird tickets and how should you use them?

Early bird tickets are discounted (often by 20-40%) for people who buy early. They bring in cash straight away, create urgency and let you estimate attendance in advance. Limit availability (for example to 10-15% of capacity) to protect their value.

How does dynamic pricing work for an event?

Dynamic pricing raises the price as the date approaches or as seats sell out. Start with early bird, then standard pricing, and finally last-minute tickets at full price (or discounted to fill the room). Tell attendees about the strategy to create urgency.
