Event WiFi Capacity Planner
Calculate the bandwidth and number of access points your event needs, based on attendees, devices, type of use and venue size.
Event WiFi Plan
- Estimated connected devices400
- Bandwidth needed200 Mbps
- Recommended connection260 Mbps (with a 30% margin)
- Access points needed10
- Estimated AP cost€2,000
Suggestions
- Ask the provider for a dedicated (not shared) connection
- Set up separate VLANs for staff and guests
- Test the network 48 hours before with a load simulation
- Have a backup 4G/5G router
- Place the 10 access points evenly across the busiest areas
How it works
Enter the number of attendees, average devices per person, type of use (basic, video streaming, interactive demos) and floor area to calculate the bandwidth needed and the optimal number of access points. Get the technical specifications to share with the venue.
Frequently asked questions
How much internet bandwidth do you need for a 200-person event?
For 200 people with basic use (email, social media, event app), plan for at least 100-200 Mbps. For heavy use with video streaming and online demos, estimate 500 Mbps-1 Gbps. Always count 1.5-2 devices per person and double the estimate as a safety margin.
How many WiFi access points does a conference need?
A professional access point covers about 20-30 m² at high user density (a conference) or 50-80 m² at low density. For a 200 m² room with 150 people you need 5-8 access points, properly placed on the ceiling or walls.
How do you ensure good WiFi at an event?
Ask for a dedicated attendee network separate from the venue's own, test bandwidth under realistic conditions before the event, mount access points on the ceiling for the best coverage, use QoS to prioritize traffic and have a plan B (4G/5G as backup).
