AI Seating Chart Optimizer for Events

Arrange guests at tables automatically with AI, based on their relationships, seating preferences and the constraints you set.

Guests to seat

One guest per row. Group and neighbours are optional: they keep together the people who should sit together.

  • Guests in the same group tend to end up at the same table.
Available once you have filled in at least one other row.

This calculation needs at least 1 guests: add 1 more guest.

The columns must be in the same order as the fields above, and they replace the rows already entered. A list in JSON format also works, if you have one.

Seats available in this room: 80.

How it works

Enter your guest list with their relationships (colleagues, friends, family) and seating preferences, and the AI automatically optimizes the table plan, maximizing compatibility between guests while respecting the constraints you set.

Frequently asked questions

How does the AI optimize the seating plan?

The algorithm uses combinatorial optimization techniques to maximize a compatibility score between guests. It takes into account positive relationships (friends, colleagues), negative ones (conflicts), special needs (diets, accessibility) and protocol (head table).

How many guests can the optimizer handle?

The tool handles up to 500 guests across a maximum of 60 tables. For gala dinners of up to 100 guests the optimization is almost instant. For larger numbers the calculation may take 10-30 seconds.

Can I fix some seats and optimize the rest?

Yes, you can lock specific guests in place (for example the couple, VIPs or speakers at the head table) and the AI will optimize only the remaining seats. You can also set constraints such as "these two people must not sit at the same table".
